Title: Individual Contractor

Area of Specialization/Thematic Areas: Administrative Management

Responsibilities/Description of Professional Services:

  • Support daily administrative tasks;
  • Support the logistical arrangements of conferences, workshops, roundtables, public events and other scientific/scholarly meetings;
  • Support financial management;
  • Assist the preparation and production of training materials, including editing;
  • Ensure appropriate filing and archiving of office documents, including programme files and correspondence in hard-copy and digital forms;
  • Negotiate with local suppliers to improve cost-effectiveness;
  • Provide support in preparing and conducting workshops and other events;
  • Maintain databases and mailing lists;
  • Review, edit and translate documents (JPN/ENG);
  • Conduct research for programmes and office activities as per the request of the Head;
  • Format, prepare and disseminate working papers and related materials; and
  • Undertake any other initiatives as per the request of the Head.

Measurable Outputs/Deliverables/Schedule of Deliverables:

  • Efficient and effective design and conduct of administrative tasks related to HO programmatic implementation;
  • Delivery of administrative and reporting outputs in a timely manner; and
  • Adequate communication.

Performance Indicators for Evaluation of Results:

  • Conduct of relevant activities in a timely manner;
  • Knowledge and experience on subject matters;
  • Good communication and team work with colleagues and workshop participants; and
  • Future plans and recommendations made upon request by the Head of UNITAR Hiroshima Office.

Eligibility Criteria

  • Fluency in Japanese and English (TOEIC score 900 and more);
  • Master's degree in international relations or other relevant field, OR work experience of minimum three years in the area of international relations.

Start of contract: ASAP (probation period of 3 months). Renewable.
